Evsol All In One Event Solutions (Pty)Ltd (“Evsol”, “we”, “us”) respects your privacy. This policy explains how we collect, use, store and share personal information when you contact us, use our website, work with us or engage our event services.

Our services include event safety, event security, medical services, staffing, permits and related event support. This policy covers information processed by Evsol All In One Event Solutions (Pty)Ltd. Our handling of personal information is subject to the Protection of Personal Information Act 4 of 2013 (POPIA).

Personal information we collect

We collect information relevant to the enquiry, relationship or service concerned. Depending on the circumstances, this may include:

  • Names, company details, telephone numbers, email addresses and physical addresses.

  • Enquiry, quotation, contract, correspondence, billing, tax and payment information.

  • Event details, service instructions, deployment and accreditation records, access or vehicle information, and security or incident reports, including CCTV footage where held by us.

  • Employee, applicant and contractor information such as identity details, qualifications, relevant registrations, lawful vetting results, contracts, training, attendance, payroll and banking details.

  • Relevant emergency contact and health information where lawfully required for employment, medical support or incident management.

  • Information submitted through website forms and communications, and relevant technical information processed by our website services.

We process special personal information, including health information, and children’s information only where lawfully permitted and necessary. Sensitive operational information should be shared through a communication method agreed with us.

How we obtain information

We generally obtain information directly from you through forms, enquiries, applications, contracts and correspondence. Where necessary and lawful, we may also obtain relevant information from your authorised representatives, event organisers, venues, appointed service providers, operational records or established credit bureaux where a credit assessment is required.

Why we use information

  • Respond to enquiries, assess requirements and prepare quotations.

  • Plan, coordinate and deliver agreed event services.

  • Administer client, supplier and contractor relationships, accounts and payments.

  • Recruit, deploy, train and manage personnel.

  • Manage access, record and investigate incidents, and coordinate emergency or medical assistance.

  • Prepare permit documentation and communicate with relevant authorities where engaged to do so.

  • Meet legal and regulatory obligations and establish, exercise or defend legal rights.

Where we process information on a client’s behalf, we act under the applicable agreement and authorised instructions. Direct marketing is subject to applicable consent requirements and your right to object or opt out.

Providing information for an enquiry is voluntary. Without information necessary to assess or fulfil your request, we may be unable to respond fully, prepare a quotation or provide the service. Where information is required by law or contract, we will explain this when collecting it.

Lawful grounds for processing

We process personal information where necessary to enter into or fulfil a contract, comply with a legal obligation, protect your legitimate interests, or pursue our legitimate interests or those of a third party. Where consent is the applicable basis, we will request it. We do not use information for an unrelated purpose without a lawful basis.

Sharing information

We may share relevant information with authorised employees, clients where necessary for service delivery, appointed contractors, technology and administrative service providers, professional advisers, insurers and emergency or medical providers.

Operators processing information on our behalf must protect its confidentiality and security and act within their authorised instructions. We may also disclose information where you authorise us to do so, or where disclosure to a regulator, court, law enforcement or another authority is required or permitted by law. We do not sell personal information.

Information processed outside South Africa

Some technology providers, including email, cloud storage, website hosting and accounting services, may process information outside South Africa. Transfers must satisfy section 72 of POPIA, including adequate protection through applicable law, binding agreements or another permitted basis.

Cookies and external services

Our website uses cookies and similar technologies to support its operation and functionality. Your browser settings allow you to manage cookies; restricting them may affect some features. Where consent is required for a particular technology, it must be obtained.

Links to other websites or services may take you to platforms with their own privacy notices. We remain responsible for personal information we process or have processed on our behalf, as required by law.

Security and retention

We use reasonable organisational and technical safeguards appropriate to the information and risks. These include restricted access, confidentiality requirements and safeguards for electronic and physical records. Access to operational and personal information is limited to people who need it for authorised duties.

We retain information for as long as necessary for its purpose, or as otherwise lawfully required or permitted. Retention periods depend on the type of record and applicable obligations. When retention is no longer justified, we securely destroy, delete or de-identify it. Security compromises are notified to the Information Regulator and affected persons as required by POPIA.

Your rights

Subject to applicable legal requirements, you may:

  • Ask whether we hold personal information about you and request access to it.

  • Request correction or deletion where justified.

  • Object to processing or request restriction where applicable.

  • Withdraw consent where processing relies on consent.

  • Object to the use of your information for direct marketing.
